Ordering, author materials, proofs and distribution. Reference guide · September 2026.
Before you order: Published confirms real payments. Practice checkout uses test cards only. A payment-pending order is not a confirmed allocation or payment receipt. The specifications, dates and terms published for your selected edition govern its offer.
From order to mailing
1. Create your publisher account
Create your sign-in, verify your email and set up your publishing company’s profile. Your company buys the wholesale inventory, sets its author prices and manages its author relationships.
Remember: Have your company name and account email ready.
2. Choose an edition and your placements
Review the edition’s audience, stated circulation, dates and available formats. Start with the optional seven-slot bundle (four quarter pages, two half pages and one full page), or build a custom mix. Quarter pages use packs of four; the edition sets the total minimum. Each placement becomes its own author slot after confirmation.
Remember: Only the edition’s published specifications describe what you are buying.
3. Review the order and payment status
Check your quantities and wholesale total. Card payments are not available yet. A payment-pending order is not proof of payment or a confirmed reservation.
Remember: Wait for Published to confirm the order before treating its slots as allocated.
4. Assign a book to each confirmed slot
Open an allocated slot and enter its ISBN to find book details, a cover, an exact purchase link and draft ad copy. Review the match and current retail price, or enter details manually. Add original artwork and any required author photo, then save your draft.
Remember: Use the original image files and check names, links and ISBNs carefully.
5. Submit the completed placement
Save unfinished work as a draft. Review the book information and artwork, then submit before the edition’s material deadline. Submitted information goes to the Published team for review and layout.
Remember: Saving a draft does not submit it for production.
6. Review and approve your proof
When a proof is ready, check the spelling, book cover, copy and purchase link. Request corrections where needed. Approve the final version when it is ready for the edition.
Remember: Submitting book details and approving a proof are separate steps.
7. Follow the edition through mailing
Check the edition’s production and mailing updates. Share confirmed information with your authors. A mailing update describes catalog distribution; it does not establish book purchases, readership or in-store display.
Remember: Author copies and their delivery arrangements depend on the edition’s offer.
Materials for each author slot
- Book title and author name, exactly as they should appear
- Book description and valid ISBN (required for book ads)
- A working purchase link for the correct book and edition
- Book retail price, kept separate from the price of the author’s ad
- Original book-cover artwork; author photo when the format requires it
- Any additional details requested by your selected placement format
Explaining the offer to an author
Your placement introduces your book in a catalog edition aimed at its stated audience. We will confirm the ad format, circulation and dates, collect your book details, and review a proof before production. It is an advertising opportunity; it does not guarantee book sales, stocking or display.
Use your edition’s actual format, circulation and dates in your author-facing materials.

Ordering
Which catalogs are available for new orders?
New-order selection is limited to Small Group & Bible Study, Waiting Room Reading and Bookstore Discovery. The six other audience guides are coming soon. Original CBB editions are examples only. An available catalog topic does not mean an edition is open: check the selected edition’s confirmed status and offer.
What is in the recommended starting bundle?
Four quarter pages, two half pages and one full page: seven individual author slots using three catalog pages. The bundle is optional, uses current per-placement rates without a separate discount, and can be added again while sufficient space remains. It does not change the applicable custom-order minimum or edition pack rules.
What happens to placements I do not sell or fill?
Your publishing company is responsible for selling and filling its inventory by the edition’s submission deadline. You may choose one purchased slot for your own publisher advertisement per company, per catalog edition, before that deadline. Any remaining unfilled placements are forfeited. Unused placements do not roll over to a later issue or another catalog.
What does my publishing company buy?
Your company buys advertising placements in a specific catalog edition at the displayed wholesale price. You can resell those placements to authors at your own price or include them in your publishing services. Published coordinates the catalog’s layout, proof process, printing and mailing as described in the edition’s offer. This is advertising space, not a purchase of your authors’ books.
How do quarter-page packs work?
Quarter pages are ordered in packs of four: one pack contains four individual quarter-page author slots, two packs contain eight, and so on. Each edition also lists its minimum total order. After payment and availability are confirmed, you assign a book to each allocated slot. Check the edition’s minimum, prices and format availability before submitting.
Which placement formats can I choose?
The launch menu focuses on quarter-page, half-page and full-page placements, with author spotlights where an edition offers them. Three-quarter-page placements are not part of the launch menu. Available sizes, quantities and specifications appear on the edition’s order page.
Can I pay by card right now?
Card payments are not connected yet. Payment pending means Published has not yet confirmed the payment and allocated inventory in your workspace. If you have already paid externally, provide the payment reference through your support conversation. Do not promise the slots as confirmed until the order status shows payment and allocation are complete.
Can I buy a front-cover or back-cover placement?
Only when the specific edition lists that product and its availability. A book feature on a shared cover, an exclusive cover ad and an author spotlight are different products. A cover-and-interior bundle must explicitly describe both parts. Do not assume a cover is included in a full-page purchase, or promise a cover position before it is confirmed.
Who sets my authors’ prices?
You do. Your wholesale purchase price is the amount you pay Published. Your author price is the amount your company chooses to charge. Example resale prices are illustrations, not mandatory prices. Any earnings illustration assumes the stated slots sell at the stated prices and excludes expenses unless the calculator says otherwise.
What if I need to change or cancel an order?
Refund requests must be made within 24 hours of purchase. Purchases are nonrefundable after that window. Unused inventory does not roll over. Ask Published about other requested changes before making a promise to an author; the edition’s availability and deadlines still apply.
How do I ask Published for help with my order?
Open Get help in your publisher workspace and start a question, or reply to an existing conversation. Include the order or placement reference and explain what you need. Published’s replies appear in that conversation. A resolved request can be reopened by replying, subject to the workspace’s limit on open requests. Do not include card details, passwords or sign-in codes in a support message.
Where do I see updates and replies?
Check Workspace updates for saved order, proof, production and support activity. Open the relevant order, placement or conversation for its current status and next step. An update in the workspace does not mean an email was delivered, a book was sold or every recipient received a catalog.
Book details & proofs
Can I use an unsold slot to advertise my publishing company?
Yes: one purchased slot may be used for a publisher advertisement per company, per catalog edition, selected before the submission deadline. It uses the original purchased space; it is not a free additional page. Provide the publisher materials and follow the proof process. Other unfilled placements are forfeited.
How is the book price different from my placement resale price?
The book retail price is what a reader pays for one copy of the book. The placement resale price is what your publishing company charges an author for the catalog advertisement. Keep these amounts separate. Verify the exact book edition and current retailer price; an example author-ad price is not the book’s retail price.
Which artwork files can I upload?
Upload JPG, PNG or WebP images, or a PDF for book-cover artwork. Author photos must be JPG, PNG or WebP images. Each file must be nonempty and no larger than 20 MB. Follow the edition’s artwork requirements for dimensions, quality and layout specifications; an accepted file type alone does not mean artwork is ready for print.
What happens if I change book details after a proof is made?
When editing is still allowed, saving changed book details invalidates the earlier proof approval. Submit the updated placement and review the new proof before approving it again. Content and proof deadlines still apply, and editing closes when the edition is released to production. Your approval applies to the specific proof version you reviewed.
What do I need to submit for each author slot?
Prepare the book title, author name, a concise description, a valid ISBN, a working book purchase link and original book-cover artwork. Some formats also need an author photo or additional copy. Follow the fields and specifications for the placement you bought, and use materials your company is entitled to provide for the ad.
Can I look up book details using an ISBN?
Yes. A valid ISBN automatically starts a lookup in an editable book placement. Book-data sources receive the ISBN; when AI is enabled, OpenAI receives the ISBN and public book information to research details and prepare draft ad copy. Available title, subtitle, author, publisher, description, cover, retail price and verified purchase link can fill untouched fields. Your manual edits stay in place. Check the exact edition, source, price and cover quality, then save the draft. A search-results link is not an exact purchase page; confirm the product URL before submitting. You can enter details manually or choose Look up again. Lookup does not save or submit the placement; a valid ISBN is still required to submit a book ad.
Where do I get the QR code for a book?
Open the allocated author placement and save its book purchase link. The Book QR & link opens section provides PNG and SVG downloads based on the saved placement. Review the QR in the actual ad proof. The link becomes active when the approved edition is released for production; earlier opens are not counted. Do not print artwork labeled Development link, and use the final public website address when preparing print files. After release, contact Published to correct a purchase destination without changing the printed code. Keep the printed Published domain and link active even if the website moves; mailing and display-until dates do not expire the code.
Is a saved draft ready for production?
No. A draft lets you gather information before it is complete. Submit the placement when its information and artwork are ready. The Published team then reviews it and prepares a proof. Check the placement’s status rather than assuming that saving a field or uploading an image submits the ad.
What should I check in the proof?
Check the title, author name, description, ISBN, images and purchase link. Test any QR code against the intended destination. Review the proof with your author as needed, request corrections through the placement workflow, and approve the final proof only when it is ready. Book submission alone is not proof approval.
When are the book information and approvals due?
Use the dates confirmed for your specific edition; until then, deadlines are to be confirmed. Order cutoff, materials, proof approval and mailing may have different dates. Your publishing company must sell and fill its inventory by the submission deadline. One purchased slot may become a publisher ad per company per catalog edition if selected before that deadline. Remaining unfilled placements are forfeited, with no rollover.
Distribution
Who are the priority catalogs for?
The priority audiences are Waiting Room, Small Group / Bible Study and Bookstore. Waiting Room is for relevant organizations with customer or patient waiting areas; Small Group / Bible Study is for relevant church and ministry audiences; Bookstore is for appropriate bookstore locations. The specific recipient types, geography and circulation must be stated for each edition. A catalog name alone does not guarantee every type of organization is included.
How many recipients will receive an edition?
Use only the circulation published for that edition. Research records, directory totals and sample addresses are not a confirmed mailing list or delivered reach. If an edition does not yet state a confirmed circulation, do not invent a count or use the total size of an unrelated dataset when selling the placement.
How are recipient lists put together?
Source research can include public organization datasets, business directories and organization websites. Records then need audience screening, duplicate review, address checks and selection for the edition. Finding an organization online is not the same as verifying its postal address. An edition’s distribution information should explain the actual sources, recipient categories, geography and checks completed for its selected list.
Can I see examples of the recipients?
Use the edition’s distribution summary and any recipient examples Published supplies. Those examples explain the intended audience without implying that every source record is on the final mailing file. This guide does not promise delivery of the complete recipient list or permission to reuse its contact details for other marketing.
Can an author suggest places to receive the catalog?
Yes. While editing the placement, you can optionally suggest up to three organizations with their complete mailing addresses. Save them with the book details so Published can review them. Suggestions are not verified addresses, confirmed additions to an edition’s mailing list or a delivery guarantee. Leave any unused suggestion blank.
How often will the catalogs come out?
Publication frequency follows demand and edition readiness. There is no fixed twice-yearly or quarterly commitment. Use the confirmed order cutoff, material deadline, proof deadline and planned mailing date for the specific edition you buy; dates remain to be confirmed until the edition publishes them.
What would a “display until” date on a cover mean?
If an edition uses one, it suggests the intended shelf life of that issue. It is not a commitment from recipients to keep or display the catalog for that period. It also does not extend the ad-submission deadline or promise a particular number of views.
Does every participating author receive a catalog?
Check the edition’s offer. An author copy is included only when it is explicitly listed, with the quantity, delivery arrangement and any cost explained. Buying an ad does not automatically create a separate shipment to the author. Confirm the copy arrangement before including it in your author-facing package.
How does the Christian Book Buyer’s Guide fit in?
Original CBB editions are historical examples of catalog advertising. CBB is not part of the new-order selection. A historical edition does not establish new circulation, availability, prices or a delivery schedule.
Selling to authors
Can someone help me respond to an author’s sales questions?
Open Selling coach for suggested replies, follow-up questions and relevant FAQs. It can help explain value, price concerns, distribution and royalties. Provide only the context needed for the question and check the edition’s confirmed details before making a promise. The coach does not verify your purchased inventory or guarantee outcomes.
What should I tell an author they are buying?
Describe an advertising placement in a named catalog edition, including the format, published audience, stated circulation and applicable dates. Explain what artwork and approval are required. Book sales, bookstore stocking, library acquisition, catalog display and a particular number of readers are not guaranteed outcomes of an ad.
Who handles royalties when a reader buys a book?
The book’s purchase link takes readers to the specified bookstore, retailer or publisher sales channel. Royalties and sales reporting follow the author’s publishing agreement and that channel’s terms. The catalog advertising purchase does not establish a new royalty rate or payout schedule. Your publishing company should explain its own royalty arrangements to its authors.
Does a QR-code scan count as a book sale?
No. The placement shows recorded QR/link opens after production release, including daily totals shown in UTC. Repeat visits and automated traffic may be included. These are not unique readers, book purchases, catalog deliveries or views of a printed ad. Sales evidence must come from the retailer or purchasing system; the open count does not establish a sale or a royalty payment.
How should I calculate my potential profit?
Start with the revenue you expect from placements you actually sell to authors. Subtract the wholesale cost of all the placements you purchase, including any that remain unsold. Then subtract your own sales commissions, payment fees, refunds and other service expenses. Resale revenue minus wholesale cost is the amount available before those additional expenses; it is not guaranteed profit.
Can I show authors the catalog and ad examples?
Examples can help explain page sizes and presentation. Identify historical editions and sample layouts accurately, and use approved materials for your sales conversations. A sample book, cover or recipient count does not establish what will appear in a future edition. Describe the actual placement your author would receive.
